Parent Off-Site Agreement

Concord Family Academy is designed to bring families together for shared leadership and educational experiences.  CFA is not a daycare or school, and is not a drop-off situation. CFA is a family learning environment where members are building community and relationships, with all hands on deck. A parent from each family should be on-site at ALL TIMES. This is not just so there is a point-person available to care for children, but this is a critical part of building the CFA community. If a parent is not able to physically be in the building when their child(ren) are attending classes, then CFA may not be a good fit for the family.

We understand that sometimes there is a need for an exception to be made. In the event that a member needs to be gone for a brief period of time (for example, to run to the store), the member must have a designated adult responsible for their child(ren) during their brief absence, making sure to inform their child(ren) of the arrangement. In extenuating circumstances (such as recently having a baby), members should contact the CFA Leadership Committee to assess how the situation can best be handled.

APPENDIX B

 

Member in Good Standing Qualifications

 

CFA can only run successfully when members are following the bylaws and community expectations as outlined in Exhibits and Appendices. When one or more members are not fulfilling their membership agreement, it causes extra work and stress for other members, including the leadership team.  The following document is meant to address these situations should the need arise.

 

In order to be considered a “member in good standing,” a member of CFA must meet the following qualifications:

  1. All membership fees are paid.
  2. All mentor class fees are paid.
  3. All building fees are paid on-time.
  4. Show love, grace, and friendship to each mama in CFA.
  5. Is currently teaching one class or has made other arrangements with the Leadership  Committee.
  6. Member is currently the official assistant in one to two classes or has made other arrangements with the CFA Leadership Committee. Member supplies a suitable substitute for any class they are not able to teach.
  7. Member has a cleaning assignment they faithfully fulfill every week of CFA classes.
  8. In the spirit of building the CFA community, members are always on-site during CFA classes, or if there are special circumstances, they have worked out a CFA Leadership-approved solution.

If it is found that any CFA member is not in compliance with the above, the member shall receive either a verbal or written warning from a member of the CFA Leadership Committee. Further warnings or disciplinary action, as outlined in Article X, may follow.

APPENDIX C

 

Standards of Moral Conduct

Behavior: Treat others with respect, kindness, and encouragement in speech and action and demonstrate integrity and Christian values. Refrain from any expression, gossip or physical contact that may harm or make another feel uncomfortable. Nothing is allowed at CFA that is considered a weapon or could bring insult or injury to another member. In addition, public displays of affection such as hand holding, kissing, or other affectionate gestures that sometimes accompany those who “pair off,” are not allowed in this setting.

Dress and Appearance: Members including children 3+ dress for the CFA day in a CFA issued T-shirt. When this isn’t possible, a solid colored polo shirt or T-shirts OR a button up shirt would work well. Dress standards should be consistent with For the Strength of Youth: A Guide for Making Choices. CFA members should avoid extremes in clothing, appearance, and hairstyle, be neat and clean, and avoid being sloppy in dress, grooming, and manners.

Language: Language used at CFA should be clean and intelligent – that which uplifts, encourages, and compliments others. CFA fosters a community of friendship and respect, where both mothers and children speak kindly of one another and avoid gossip.The names of God and Jesus Christ should be used only in reverence. Profane, vulgar, or crude language or gestures, as well as jokes about immoral actions are not allowed at CFA.

Media: Material that includes anything vulgar, immoral, violent, or pornographic in movies, music, videos/DVDs, books, magazines, pictures, and other media are not allowed at CFA. 

Service to the Organization: Members of Concord Family Academy serve the organization by participating in the cleaning of the building, keeping the environment clean and orderly, keeping track of personal possessions, and being attentive to their family’s needs.

APPENDIX D

Specific Duties of CFA Leadership Committee Members

 

President (Presiding Officer)

  1. Acts as the Standard Bearer of the Vision and Mission of CFA.
  2. Acts as Chairman of the CFA Leadership Committee. Creates agenda and conducts CFA Leadership Committee Meetings. 
  3. Facilitates and chairs general meetings and activities.
  4. Oversees all aspects of the operation of the organization.
  5. Final decision maker on the addition of new members and removal of members of CFA.
  6. Consults with CFA Leadership Committee Members, Class Mentors and Members as needed.
  7. Ensures adherence to Bylaws and Policies & Procedures (once document is finalized).
  8. Monitors and participates in committees as appropriate.
  9. Makes monetary decisions in conjunction with the Vice President. (Spending, building fees, etc.)
  10. Acts for CFA in exceptional circumstances (e.g. safety and dangerous situations) requiring timeliness in the absence of other CFA Leadership Committee Members. Informs the CFA Leadership Committee of actions taken.
  11. Reports on the state of the organization at Member Meetings.

 

Vice President / Chief Operations Officer 

  1. The principal duty of the Vice President is to serve as the President’s assistant and counselor in all things related to CFA operations.  
  2. If the President cannot fill his or her term, the Vice President acts in the capacity of President until a new President can be elected.
  3. The Vice President oversees that activities, youth activities, mama’s nights & weekly mama’s discussions are happening and in line with the CFA vision.
  4. Works with Events Coordinator to ensure activities are supported by committees. 
  5. Arranges for and oversees facilities and maintenance including: procuring a building, contacting the building representative whenever necessary, ensures that we leave the building clean each week.
  6. Creates a logistical schedule of who opens and closes the building.
  7. Works with the Education Coordinator to schedule time and location of classes. Creates a scheduling committee as needed.
  8. Makes monetary decisions in conjunction with the President. (Spending, building fees, etc.)
  9. Prepares and gives a report at each CFA Leadership Committee Meeting and member meeting.

 

Education Director 

  1. Organizes class offerings to ensure classes are balanced according to the current needs of the group and inline with the CFA vision.
  2. Works with the Vice President to schedule time and location of classes for each semester.
  3. Oversees class mentors and stays viable as a mentor themselves by continuing personal education with attention to the art of mentoring and encourages mentors to do the same.
  4. Makes recommendations to the CFA Leadership Committee for future classes, mentors, and educational quality.
  5. Works with the President to monitor educational quality of classes and provide coaching and suggestions to mentors as requested and appropriate.
  6. Conducts Mentor Training, as needed. Usually at the beginning of the year and mid year. The Education Director can lead this training or bring in an expert with the skills CFA members are trying to gain.
  7. Maintains updates to class schedule and room assignments on CFA spreadsheet and Google calendar.
  8. Ensures each class has two mentors even when absences occur.
  9. Prepares and gives a report at each CFA Leadership Committee Meeting and member meeting.
  10. Helps scholars figure out classes to teach and provide guidance of classroom management as they mentor classes.

 

Scholar Coach

  1. Oversees and works with the Scholar Council to create appropriate, enriching activities in communication with the CFA Leadership Committee.
  2. Creates and coordinates annual Scholar Vision Retreat.
  3. Seeks to understand the scholars and their needs while helping them to catch the vision of CFA and connect with each other.
  4. Works with the scholars to encourage them to guide their own education.
  5. Acts as a bridge of communication between the Scholar Council and the CFA Leadership Committee.
  6. Oversees and supports the Scholar Support Team, including the mentors who teach Homeroom.
  7. Works with the CFA Leadership Committee to create a clear vision of the CFA Scholar Program.
  8. Prepares and gives a report at each CFA Leadership Committee Meeting and applicable Member Meetings.

 

Events Coordinator / Calendar

  1. Works with the President and Vice President to select which activities are of greatest importance for the upcoming year.
  2. Is mindful of the calendar to keep activities continuing and spread out to avoid mama burnout. 
  3. Creates activities committee signup sheet and encourages mamas to sign up for at least one or two committees.

Checks in on committees to see if they need help.

Supports each committee as they plan events.

  • Gets the ball rolling a few months in advance with each committee.
  • Gets one mom to be a leader for the committee to keep progress happening.
  • Checks in with each committee throughout the planning process to offer help and clarification.

Makes sure that events are publicized.

  1. Sends reminders for activities.
  2. This position does not need to attend every event.
  3. Maintains events for activities on both the CFA Google Calendar and GroupMe Calendar.

 

Treasurer

  1. Maintains accurate records of all financial transactions involving CFA.
  2. Collects member dues for building fees, etc., and provides follow-up reminders for those who need to pay. 
  3. Handles receipts and disbursement of funds, including approved reimbursements of CFA 

expenses incurred by members.

  1. Reconciles monthly bank statement to The Actual Budget software and helps to manage 

budget categories.

  1. Creates and maintains budgets as directed by the CFA Leadership Committee.
  2. Prepares and gives a financial report monthly, by semester, or as needed.
  3. Renews and pays for recurring annual charges such as CFA Business license, liability 

insurance, website fees. 

  1. Stays aware of CFA’s tax status, and provides tax receipts for donations received throughout the year.
  2. Looks into fundraising or grant opportunities for the organization.

 

Secretary 

  1. Takes minutes of all CFA Leadership Committee meetings and general member meetings and shares minutes with the CFA Leadership Committee. 
  2. Monitors and responds to the CFA email account. 
  3. Notifies members about meetings, classes, schedule changes, and any other important information using a method agreeable to the CFA Leadership Committee such as 

sending out an email to all CFA members monthly or more frequently as needed.

Emails include:

  • Announcements
  • Birthday shout out list 
  • Greetings to new members 
  • Reminders about upcoming events 
  • Summary/highlights of previous months activities 
  • Reminders about fees needing to be paid 
  • Reminders about sign ups/volunteer slots for items from the spreadsheet  
  • Includes an inspirational quote on whole soul education
  1. Maintains CFA documents and information including the following:
  • Adds or removes members from the CFA GroupMes as needed (CFA prayer requests, CFA official business, CFA mama chatter, CFA summer park days)
  • Manages working spreadsheet of calendar, classes and general information
  • Oversees files of all completed paperwork in google docs (i.e. Membership Agreements, Class Proposals, etc.)
  1. In regards to new and prospective members:
  • Tracks new member leads, manages the wait list and interviews prospective members as needed.
  • Follows up with prospective members to answer any questions and extend appropriate invitations.
  • Oversees hospitality and coordination of any visiting families or individuals to CFA.
  • Provides training to new members by sending welcome email and new member documents.
  • Provides any orientation or training that new members might need (overview of the spreadsheet, upcoming events, current sign-ups, etc).
